In this project, I redesigned the approval workflow for a healthcare management platform, streamlining navigation and improving efficiency. By prioritizing essential information and reducing manual inputs, I created an experience that allowed users to complete approvals faster and with greater accuracy.

Discovery and Definition

Users requested a more dynamic and intuitive workflow for reviewing and maintaining service authorizations in AssureCare's utilization management module. The primary business goal is to help reduce time spent on the Service Authorization process by 50%. This will help improve the user's day-to-day workflow and allow for easier reporting and decision making.

Product Understanding & Research

The primary users of this module are nurses and physicians. I had the opportunity to speak some of the nurses who have worked with AssureCare's and other similar applications

The service authorization process is too manual right now. It takes much longer to complete approvals because it’s not always clear what the next step should be.

Efficient Workflow

To improve efficiency, I replaced the details pages with modals, allowing users to add and edit items without losing context of previously added items. I also proposed automatically filling in inputs like date and time or descriptions when applicable to reduce manual entry and enhance the user experience.

This project underwent multiple iterations with a variety of stakeholders, which taught me how to balance business objectives, technical constraints, and design goals. I also gained a deep appreciation for the importance of product and design documentation. In the final iteration of this project, I meticulously reviewed every screen and component and documented all key design decisions that were made throughout the project.

Implementation

As this project moved to implementation, I worked closely with the product owner and engineering team to deliver an accessible and streamlined workflow. The many iterations of this project allowed me to gain a deep insight into the complex and unique user journey.

Balancing Design and Stakeholder Goals

A key aspect of this workflow is approving or denying service lines. After consulting with the internal team, I learned enabling users to bulk approve or deny lines when applicable was crucial. Since all service lines must be decisioned before an authorization is complete, the bulk decisioning feature ensures a smoother, more structured process.

In the current application all of these can be done on the same page, which creates a lot of room for error. A design decision I made was to split the service line workflow into adding and editing lines and decisioning lines.
